How to set up row-level security

Share one report and let each reader see only their rows: set row security per report, by reader, column and values, or with @me. Narrated.

The steps

  1. 1Row-level security lets one report show each reader only their own rows. The owner sees every country: 118.7 million dollars in sales.
  2. 2It's set per report. Open the report, choose More, then Row security.
  3. 3Choose a reader: a workspace Viewer, or someone you shared the report with. Then choose the column that decides access, such as Country.
  4. 4Tick the values they may see. The list comes from your own data. Then choose Add rule, and the rule appears under the reader's name.
  5. 5For data with an owner on every row, tick Match the reader's own email. That reader then sees only rows with their own email address.
  6. 6Now the Canada manager opens the same report. It's filtered for her, so every total, chart and AI answer uses Canada's rows: 24.9 million dollars.
  7. 7It's safe by default. A reader with no rule sees no rows. Reports on protected data can't be shared publicly or embedded. And it's all enforced on the server.
